n8n vs Make vs Zapier for Service Business Automation

Compare n8n, Make, and Zapier using executions, credits, tasks, and maintenance cost. Build a clear workload estimate before choosing a service-business platform.
The cost of n8n, Make, or Zapier depends on what your workflow does and how the platform counts it. Compare the bill for a defined process, then add the time someone will spend maintaining it.
Compare the unit before comparing the price
These published pricing references were checked on September 11, 2026. A quoted starting price is not a complete estimate for a particular workload. Billing period, currency, usage tier, taxes, and extra services can change the total.

The references are n8n pricing, Make pricing, and Zapier pricing. Check the selected interval and task or credit tier on the latter two pages. Their interactive selectors matter, so do not apply an entry price to an unquoted higher allowance.
n8n’s advertised execution model includes unlimited steps in a workflow. That can make longer workflows attractive to evaluate, but it does not make an execution comparable to a Make credit or a Zapier task. Those units measure different things.
Why counting boxes in a diagram gives the wrong bill
A twelve-box diagram is not proof that all platforms charge twelve units each time it runs. Some boxes represent triggers or control logic. Others run once for every record in a list. Different implementations of the same business process can use different numbers of billable actions.
Make’s credit documentation explains that ordinary non-AI operations use one credit while some built-in AI features depend on additional usage factors. Make’s router documentation says routers do not consume credits. A router box must not be counted as a paid module action simply because it is visible.
Zapier’s task documentation distinguishes successful billable actions from triggers and specified non-billable steps. Failed actions do not count in the same way as successful actions, but earlier successful work in a partly failed run can still use tasks. Inspect the history instead of calling an entire failed run free.
For AI steps, check the current feature-specific billing rules. Your model-provider invoice may also be separate. A workflow subscription is not automatically the only bill attached to an automated answer.
Use an explicit workload model
Take a hypothetical intake process: receive an enquiry, check whether a contact exists, create or update the record, assign an owner, send an appropriate acknowledgement, and record the outcome. Before estimating usage, decide which of those actions each platform actually performs.
The following example is arithmetic under stated assumptions. It is not a measured implementation benchmark or a claim that the same drawing has identical metering in every tool.

If your Make trigger or polling checks consume additional credits, add them. If the workflow processes several records for each enquiry, include the resulting repeated operations. If a Zapier action is non-billable, remove it from the task estimate. If a separate workflow execution is triggered, check how n8n meters it.
The same rule applies to retries and repairs. A workflow that writes a record successfully and then repeats that write after a later failure can create both extra cost and duplicate records. Design the retry behavior before forecasting a clean monthly total.
Now put the calculated usage into each vendor’s pricing selector. Compare currency consistently, account for annual prepayment, and add a realistic buffer based on your own peak months. There is no useful universal winner based on unit count alone.
Match the interface to the person who will maintain it
An operator evaluating these tools should run a small maintenance exercise rather than rely on a generic “easiest” ranking. Ask the eventual owner to find one failed run, correct a field mapping, and explain where the customer record went.
Zapier’s trigger-and-action structure is worth trying for straightforward app connections. Make’s visual scenario canvas is worth trying when staff benefit from seeing branches. n8n is worth trying when the owner wants detailed control over data and workflow logic. These are evaluation starting points, not measured usability results.
Use the systems you actually run. A large integration directory does not establish whether a connector supports the exact action or field you need. Check the selected plan, authentication method, permissions, and any limitations of the destination application.
Write down how long the owner takes to complete the exercise and where they need help. That gives you evidence about the cost of ownership in your business, which is more useful than another company’s preference for a canvas or editor.
Test the process as well as the connection
A successful API response can still produce the wrong operational outcome. A job written to the CRM with no owner is technically stored but may not be acted on. A confirmation sent before a booking is accepted can make a customer believe an appointment exists when it does not.
For a small intake pilot, use these test cases:
- A new enquiry with all required details.
- An existing contact using a different email address.
- A missing postcode or unsupported service request.
- A duplicated event delivered twice.
- An unavailable CRM or calendar.
- A customer who changes or cancels the request.

Keep AI interpretation separate from actions that should follow fixed business rules. For example, a model may help classify an enquiry, while your approved service-area list determines whether the job is offered. The tool should not invent an area, price, or available appointment to keep a flow moving.
Add maintenance to the comparison
Suppose one hypothetical platform setup costs $30 per month in software and requires four hours of monthly support. Another costs $100 but takes one hour. If the business values that support time at $40 per hour, their comparison costs are $190 and $140 respectively.
Those are illustrative assumptions, not prices or staffing requirements for these vendors. Their purpose is to show why subscription price alone can lead to the wrong purchase. Test the maintenance burden with the person who will carry it.
List who receives failure alerts, who can change the workflow, who approves customer-facing copy, and how to pause the system. Establish access ownership and record recovery procedures before the owner goes on holiday.

Choose after one real pilot
Build one limited workflow and capture its actual usage history. Check normal and exceptional cases, record the maintenance effort, and price the result at the volume you expect. Keep the assumptions visible so a change in demand or workflow scope can be recalculated.
Choose the platform whose required features, measured workload, and ownership cost fit the business.
